A phone camera plus the right technique produces scans that are indistinguishable from a flatbed scanner — and you always have it with you. The trick is a few habits that make the automatic processing work well.
Lighting and background
Use bright, even light and avoid casting your own shadow over the page — near a window works well. Put the document on a surface that contrasts with the paper (a dark desk under white paper), so the scanning software can find the edges. Flatten curled pages and hold the phone parallel to the page rather than at an angle.
Let it crop and de-skew
Good scanning tools detect the four corners of the page and apply a perspective correction, so a photo taken slightly off-angle comes out as a straight rectangle. Check that it grabbed the real corners; if the page edge blends into the background, move to a more contrasting surface and retry.
Choose the right colour mode
- Black & white — best for plain text documents. Smallest files, crispest text, removes paper discolouration.
- Greyscale — text documents with photos or shading.
- Colour — only when the colour carries information (forms with coloured stamps, ID cards, receipts).
Multi-page documents
Scan every page into a single PDF rather than a folder of images — it is one file to send, it prints in order, and it stays together. Add pages before you export.
Make it searchable with OCR
Optical character recognition (OCR) reads the text in the image and stores it invisibly behind the scan, so you can search the PDF, select and copy text, and screen readers can read it. It is the difference between a “picture of a document” and a real document.
Keep file size and privacy in check
Black-and-white mode and sensible resolution keep a multi-page scan to a few hundred kilobytes. And because contracts, IDs and medical letters are sensitive, prefer a scanner that processes on your device and does not upload your pages.
